Managing Your Receivables

Our Accounts Receivable module incorporates advanced features specific to long-term care and other healthcare organizations. the programs are designed with features to ensure that invoice and claims submissions are conforming to the complex rules and regulations of third-party healthcare billing. Specific features are incorporated to monitor and track the receivables so bills are not lost due to the long delays common to the Intermediaries and insurance companies processing the claims.

Remittances and Cash Receipts

Multiple methods are available for processing electronic remittances and cash receipts. Remittances can be posted directly for transmissions received in 4010/835 (HIPAA) format. When electronic remittances are unavailable (receiving paper remittances), billing files can be saved with an option for creates a Cash Receipts batch for posting. Bills to this file are edited exceptions as indicated on the remittance and the corrected batch posted to the Accounts Receivable.

Custom Statements and Collection Notices

Print custom defined statements and collection notices with bills to improve collections. Statements can incorporate Credit Card authorizations allowing guarantors to pay by credit card. Tear-off slips can be used by the clients to remit their checks with data such as bar coded account information included on the tear-off strip. The strips can be used to scan the cash receipt into the system.

Detailed History

A detailed history is maintained of each transaction on each resident account. Track residents across episodes and monitor their account balances for each stay or consolidate the account to provide a complete picture of all invoices, charges, allowances, write offs, payments and contractual allowance activity in their account.

Extended Aging Reports for Healthcare

The our basic aging report provides additional aging columns of 30, 60, 90, 120, 180, 270, 1 year, 2 years and unbilled. The prolonged collection period and the intermediary rules of denying claims past 2 years necessitates that third party and insurance claims are carefully tracked.

  • Monitor Accounts

    Aged Receivables Reports monitor residents' status and highlight problem areas. Special reports analyze current sales and review sales trends. On-line inquiries allow you to quickly review the receivables status for any resident.
  • Auto-Rebill

    Most Intermediaries will deny invoices aged past 2 years. Since most Medicaid approvals have become very protracted, invoices may pend for long periods of time. To keep invoices active, unpaid invoices can be automatic rebilled.
  • Finance Charges

    Automatically calculate finance charges on outstanding private balances. The interest is posted to the Receivables and printed on the Private Invoice.
